Assistant Corporate Sales Manager

Location: San Diego, CA

Work Schedule: Full Time, Average 45-50 hours per week

We are looking for a dynamic and energetic individual to fill the role of Assistant Corporate Sales Manager that has at least 3-5 years’ experience in the catering and event industry. The candidate must be detailed oriented, organized, creative and proficient when working in Excel, SharePoint, Office 365, and PowerPoint. Additional experience in Square, Caterease and AllSeated is preferred.  

Job Duties:

  • Maintain and manage all general administrative tasks (answering all inbound calls, manage incoming parcels/mail, etc.).

  • Manage companywide calendars.

  • Order and maintain office supplies inventory (for copy room and office kitchenette).

  • Light cleaning/tidying of general spaces.

  • Co-manage client events under the direction of each Sales Manager and Director of Sales.

  • Monitor Square order site and process seasonal/holiday promotions and special event orders (virtual events included).

  • Design and print signage, labels, menu cards, place cards, gift tags, etc.

  • Package client orders (catering and gifting).

  • Print and distribute BEO information.

  • Strong knowledge of job duties and functions.

  • Ability to adapt to changing demands.

Warehouse Manager

Location: San Diego, CA

Work Schedule: Full Time, Average 45 hours per week

We are looking for a dynamic and energetic Warehouse Manager that has at least 3 years’ experience, preferably in the hospitality industry. Must have strong leadership and interpersonal communication skills, with the ability to manage and develop a team. This position reports to the Director of Operations.

 

Job Duties & Responsibilities:

A. Warehouse Staff

  1. Maintain warehouse staff by recruiting, selecting, orienting, and training employees

  2. Maintain warehouse staff job results through planning, monitoring, and appraising job results

  3. Manage warehouse schedule

  4. Manage daily task list in coordination with Logistics Manager and Director of Operations

  5. Assign work, set completion dates, review work, and manage performance in accordance with organizational policies, procedures, and performance management processes

  6. Provide coaching, mentoring, and counseling to warehouse employees, and issue corrective action when required

  7. Coordinate with Staffing & Operations Manager to schedule Event Managers/Service staff for Warehouse Training

  8. Coordinate with Staffing & Operations Manager to schedule Warehouse staff for events offsite

  9. Coordinate with Special Projects Manager to schedule Warehouse staff for BTS special projects throughout the year

 

B. General Operations/Warehouse

  1. Maintain inventory of warehouse equipment, china, linen, décor, dry goods, beverages, etc. by conducting physical counts and reconciling with inventory system

  2. Maintain inventory of liquor cage and establish process to check-in/check-out goods for events, tracking consumption, placing orders to maintain PAR levels

  3. Develop and monitor procedures for safety and security of warehouse environment by establishing and monitoring security procedures and protocol in compliance with CAL Osha regulations, to include regular logs and trainings.

  4. Establish procedures for warehouse receiving area and maintain logs in coordination with the Front Office

  5. Maintain BTS Vehicle Maintenance Program through established tracking system, keeping up to date with regular and scheduled maintenance and repair of BTS vehicle fleet

  6. Coordinate with Logistics Manager on scheduling of delivery vehicles for daily drops and event use

  7. Liaise with Rental Equipment companies to assure all orders are placed, accurate, timely and properly returned

  8. Work with Director of Operations to establish new protocols and procedures to ensure that all events are complete and accurate when pulled and trucks/vans are properly loaded and all equipment is accounted for

  9. Work with Director of Operations to establish new protocols and procedures to ensure that all equipment and rentals are properly returned and inventoried to the warehouse

  10. Contribute to team effort by accomplishing related results as needed

 

C. Special Projects

  1. Work with BTS Director(s) and/or Managers on special projects and events.

  2. Work with Director of Operations to create and implement operational systems and procedures to be carried out by all warehouse/logistics staff.

  3. Work with Director of Operations to continually improve systems and work flow efficiencies.

  4. Oversee and monitor building maintenance needs and repairs, as required

  5. Other special project duties, yet to be determined.

D. Management Reporting/Responsibilities

  1. Work with BTS Management Team to assure proper communication and information dissemination between BTS Management Team and staff.

  2. Provide regular updates and reports as to the progress and issues relating to the warehouse, as requested.

Assistant Operations and Staffing Manager

Location: San Diego, CA

Work Schedule: Full Time, Average 45-50 hours per week

We are looking for a dynamic and energetic Manager that has at least 2 years experience in the catering and event industry.   The candidate should be comfortable establishing and cultivating relationships with new and existing clientele and show a passion for their work.  Local knowledge and experience within Southern California is preferred but not required. 

 

Job Duties:

Staffing Management/Scheduling

  1. Interview and Screening of potential service employees.

  2. Supervision of Front of House Staff, when required.

  3. Management of Event Captains or Lead Managers

  4. Coordinate and maintain staff scheduling and assignments to assure all scheduled event(s) have appropriate staff levels for required service.  This includes the scheduling if the BTS warehouse and logistics staff in coordination with Warehouse Manager.  Culinary staff scheduling shall continue to be managed by the company Executive Chef, however, for on site events, culinary staffing needs are to be coordinated between the Operations Manager and the Executive Chef.

 

General Operations/Warehouse

  1. Maintain Inventory of Dry Goods, beverages, linen, décor, and china items. Includes support of Warehouse Manager and staff.

  2. Work with Kitchen and Warehouse staff to assure efficient and cost-effective ordering of supplies and food items.

  3. Work with Clients and Vendors regarding party site set-up and other related details.

  4. Work with designated BTS staff member regarding regular and scheduled maintenance of delivery vehicles.

  5. Work with Logistics Manager(s) on scheduling of delivery vehicles for daily drops and event use.

  6. Liaise with Rental Equipment companies to assure all orders are placed, accurate, timely and properly returned. To be coordinated with Sales Team members who take the lead on this task.

  7. Overall management and supervision of all outgoing events and parties.  Assure Catering Event Orders are complete and accurate, and all paperwork is returned to BTS offices.

  8. Assure that all equipment and items are picked up from clients in a timely and efficient manner.  Responsible for working with staff to assure all site equipment is properly inventoried upon site delivery and load-out. 

 

Special Projects

  1. Work with BTS Director(s) and/or Managers on special projects.

  2. Assist and develop tracking and event costing reports, as required.

  3. Creation and implementation of operational systems and procedures to be carried out by permanent and on call staff.

  4. Restructuring and implementation of employee training and education program. 

  5. Work with Sales Manager and Sales Associates on creative décor, menu, and incentive packages. 

  6. Work with Back of House Staff (Culinary Staff) to assure clients are receiving quality menus and service.

  7. Assist Sales Managers with Special Event on-site walk-thru(s) and client service requirements, as needed. 

  8. Assist Sales Managers with Marketing and Sales Duties, as requested.

  9. Work with company President to assist with general operations tasks at BTS owned entities and projects.

  10. Other special project duties, yet to be determined.

 

Off-Site Event Management

  1. Planning and logistics for off-site special events, including large scale events (i.e. Olympics, Rose Bowl, 3 Day Walk, etc...), as assigned

  2. Supervision of on-site Event Managers and Logistics Managers at event sites, if required.

  3. Overall management of all assigned venues including service employees, menu integrity, timely service, set-up, clean-up, and overall operation of catering areas at assigned events.

  4. Oversee job duties and performance of all staff at applicable events.

  5. Assure all assigned event(s) are set up, maintained, and serviced according to BTS standards and as designated by BTS Management and event catering/service plan.

  6. Assure all events/venues are properly stocked/serviced with inventory/service items and that all deliveries at these events/venues are properly coordinated with jurisdictional authorities.

 

Management Reporting/Responsibilities

  1. Work with BTS Management Team to assure proper communication and information dissemination between BTS Management Team and staff.

  2. Attend and participate in regular management staff meetings during event period(s). 

  3. Provide regular updates and reports as to progress and issues relating to assigned event(s) / venue(s). 

  4. Maintain overall, integrity of assigned BTS Special Events.

  5. Provide company President regular updates on operations status, as requested.

Hourly Positions

Hours: All positions are part-time hourly. Hours vary week to week.

Location: San Diego County, CA

Event Manager

Compensation: $26-$28, vary upon experience

Responsibilities include managing event employees, client needs on event site, menu integrity, communication with onsite kitchen team, timely service, event set-up, event clean-up, load-out of event and overall operation of catering areas at all assigned events and functions. Employee will communicate and coordinate all event details with the Sales Manager and Executive Chef prior and post event. We count on this employee to be our client liaison and ensure that all guests (including our client) are beyond satisfied with their experience.

 

Captain/Lead Server

Compensation: $22-$24, vary upon experience

Responsibilities include managing a team of employees, menu integrity, communication with onsite kitchen team, timely service, event set-up, event clean-up, load-out of event and overall operation of catering areas at all assigned events and functions. We count on this employee to ensure that the event runs smoothly and that all guests are beyond satisfied with their experience. Employee works with Event Manager onsite.

 

Bartender/Barback

Compensation: $20-$22, vary upon experience

Responsibilities include set up and service of all BTS bars as well as running beverage product from BOH areas to maintain a fully stocked, efficient bar area. Bars will range from Full Top Shelf to Beer & Wine. A knowledge of basic cocktails, beer and wine, ABC rules and regulations and a willingness to jump in where needed is required. We count on this position to greet and assist guests in a friendly, polite manner. Tasks may also include keeping all areas clean by bussing tables, changing out and running trash in/to BOH areas and overall set-up and tear down of venue catering equipment and service/prep areas.

 

Server

Compensation: $20-22, vary upon experience

Responsibilities include set-up and service of food buffets/stations, as well as running food from our BOH areas to the FOH to maintain a clean and fully stocked front of house. We count on this group to maintain food standards, as well as greet and assist guests in a friendly polite manner. Tasks may also include overall set-up and tear down of venue catering equipment and service/prep areas.

 

Bussers/Runners

Compensation: $18-20, vary upon experience

Responsibilities include keeping all areas clean by bussing tables, wiping down buffets, changing out and running trash in/to BOH areas. Tasks may also include set-up and service of food buffets/stations, as well as running food from our BOH areas to the FOH to maintain a clean and fully stocked front of house in addition to the overall set-up and tear down of venue catering equipment and service/prep areas.

 

Delivery Driver

Compensation: $18

Responsibilities include maintaining cleanliness of vehicle, daily check-in & check-out. Comfortability driving a variety of vehicles from transit vans to refrigerated trucks. Good driving record & road safety top priority. Tasks may also include packaging out meals and restocking/cleaning of work stations.

 

Warehouse

Compensation: $18-$20

Responsibilities include sorting, packing, loading, delivery, unloading, and tasks related to the product and order fulfillment for operational venues. Employee required to lift 50lbs.
